Ponds: Settling Expectations Before You Build

Swimming ponds, natural ponds and natural pools: settle technology, care effort, water clarity and running costs before the quote and show them honestly online.

The pond is the trade where the client's mental image and the finished result can drift furthest apart. The client pictures still water, clarity down to the bottom, a jetty and hardly any work. What is built is a living system that grows filamentous algae in its first summer, whose plants need two to three years before they take over their job, and which, depending on the build type, has a pump that costs electricity every month. Both can be the same pond. The only difference is whether somebody said in advance what to expect. For a landscaping company this is not a matter of politeness but of margin: rectification work on something that is not a defect eats the contribution of an entire project, and in a small town the unhappy client travels faster than the happy one. This article sorts out what has to be settled before the quote — build type, technology, water clarity, care effort and running costs — and shows how a pond page reflects that honestly without scaring off the right customers.

Why the Expectation Gap Is Widest With Ponds

With a paved surface, finished means finished. On handover day the client sees exactly what will still be there in five years, and can judge the work with their own eyes. With a pond it is the other way round: on handover day the installation is technically complete but biologically at the very beginning. The plants have hardly any root mass, the substrate carries no meaningful microflora yet, the water has just been let in and reacts to every nutrient input without any buffer. The client, however, does not compare this state with a new build. They compare it with the picture that persuaded them to sign: a holiday photo, a magazine shot, quite possibly a reference from your own gallery that was photographed in its eighth year.

That is why complaints about ponds rarely arrive on handover day. They arrive in July of the first or second year, when filamentous algae hang from the steps and clarity has dropped from two metres to eighty centimetres. At that moment the question of whether a defect exists is on the table. That is not decided by the client's feeling but by what was agreed. Where nothing specific was agreed, the argument turns on customary quality — and that argument costs time, nerves and usually money, no matter who is right in the end. How such an agreement should be worded in a specific case is a matter for legal review; the technical description of what your installation is meant to achieve can only come from you.

Anyone who applies the brakes early loses individual jobs. That is uncomfortable and still the cheaper route: the client who walks away after the first meeting because they do not want the care effort would have cost you weekends in year three. Across more than fifty website projects with trade and landscaping companies (project experience) the same pattern shows up: the businesses with the most honest service pages receive fewer enquiries and write more quotes that are actually accepted.

The Most Expensive Pond

The most expensive pond is not the most elaborate one but the one nobody explained. Every hour that goes into discussions about algae, turbidity or electricity costs after handover is an unpaid hour — and it falls in the season when your crew is booked out anyway.

Three Build Types, Three Promises

A large share of the misunderstandings starts with the word itself. The client says swimming pond and means a basin with pool-grade water in a stone finish. You hear swimming pond and think of an installation with a regeneration zone in which a substantial part of the surface is planted and not available for swimming. It therefore pays to separate three build types cleanly, both in the first meeting and on the website, and to give each of them its own promise.

The natural pond is a garden pond without swimming as its main purpose, without permanently running technology, with plants and soil substrate as the cleaning system. The swimming pond adds a swimming zone, separates it from the regeneration zone and uses skimmer, pump and filter to handle surface input and nutrients. The natural pool — also called a naturally filtered swimming basin — largely dispenses with planting area in the water, moves the cleaning into a technical biofilter and thereby comes close to the clarity the client knows from a public pool. In exchange it runs on technology all season or all year and consumes electricity accordingly.

The last row matters most. No type is better than another, each type is unsuitable for the wrong expectation. That is precisely the job of the website: it should put the enquirer on the right track before they pick up the phone. A single collective page headed pond construction does not achieve that; three clearly named sections or subpages do.

Technology: What Gets Pumped and What the Power Costs

Technology in a pond has one single task: remove nutrients before the algae can use them. Everything else follows from that. The skimmer takes pollen, dust and leaves off the surface before they sink and turn into silt. The pump circulates the volume so the water reaches the filter at all. The filter — as a substrate filter in the floor area, as a chamber filter or as a planted soil filter — retains suspended solids and offers colonisation surface for the bacteria that do the biological work. And the plants in the regeneration zone strip nutrients from the water, though only once they have grown in.

Skimmer

Takes up surface input before it sinks. The basket wants emptying several times a week during pollen season and in autumn, making it the most frequent task of all.

Circulation pump

Determines how often the volume passes the filter and is at the same time the largest power item. Sizing decides the annual cost, not the purchase price.

Filter stage

Substrate or chamber filters retain suspended solids and carry the bacterial colonisation. Filter material is a wear part and belongs in the cost calculation.

Regeneration zone

The planted area consumes nutrients but needs two to three growing seasons before it performs. That lead time belongs in the first meeting.

Nutrient binding

Phosphate is the key figure for algae growth. Binding materials in the filter can buffer input but do not replace avoiding input at the bank.

Winter operation

Switching off saves power and requires frost-safe draining. Running through keeps movement in the water and keeps costing. The choice belongs in the quote.

Power consumption is the point where quotes most often stay silent — and the point where clients are most reliably surprised. Do the maths for them. A circulation pump of 120 watts (project experience) running continuously reaches around 700 kilowatt hours (project experience) over an eight month season. At a household electricity price of roughly 40 cents per kilowatt hour (Bundesnetzagentur) that is close to 280 euros a year purely for moving the water. With a natural pool, a larger pump and year-round operation the item is considerably higher. This figure does not scare off anyone who wants a pond — it only scares off the one who expected it for free, and that is exactly the intention.

The same calculation yields a sales argument: a more economical pump costs more to buy and less over ten years. If you show that in the quote as an option, you are not selling the more expensive pump but a decision the client can follow. Clients who have seen you calculate that way compare you less often with the cheapest bidder afterwards.

Water Clarity: Commit to What Is Measurable

In a pond, water quality is not a property of the installation but a result of installation, surroundings and use. Nutrients come from outside: leaves from the neighbouring trees, lawn fertiliser washed into the bank by rain, roof water carrying fine dust, sunscreen and skin particles from bathers, ducks, occasionally some well-meant fish food. A pond ten metres from a birch tree, with fertiliser spread along its bank each spring, behaves differently from the same pond in an open position. You can size the installation, you cannot control the input.

From this follows a clear rule of language. You can commit to figures you build and measure: water volume, circulation rate, filter volume, share and planting density of the regeneration zone, number and position of skimmers, material qualities. You cannot commit to outcomes that depend on the behaviour of others: permanently clear water, freedom from algae, a fixed clarity in August. The settling phase belongs in that list explicitly. In the first season, sometimes into the second, filamentous algae are a normal course of events and not a defect — provided this is written down beforehand and not merely asserted once there is a dispute.

Wording for the Quote

Split the quote into two parts: a scope of works with measurable figures, and a short section on the biological course describing the settling phase, external nutrient input and the resulting care requirement. Both sections belong on the website in substance too, so nobody can claim to have heard it for the first time at the signing meeting. Whether this amounts to an effective agreement on quality has to be reviewed legally in the individual case.

Care Across the Year: The Calendar Belongs in the Quote

The second big surprise after electricity is the time required. A swimming pond is not a piece of furniture but a planted bed with water in it. Clients who know that beforehand are satisfied; clients who do not feel misled. The year splits into four sections, and those four sections are at the same time the best structure for the care part of your website.

The decisive question in the first meeting is: who does this? A client who is in the garden every other day handles skimmer and water level personally and calls you twice a year. A client who travels from Monday to Friday needs a care contract with fixed dates — otherwise the pond deteriorates quietly and you get the blame. Both are fine. Only the third variant, where each side hopes the other will take it on, reliably ends badly.

Calculate Running Costs Before Anyone Asks

The build sum gets negotiated and accepted, the running costs rarely do — because hardly anyone writes them down. Yet they are easy to establish, and a company that shows them in the quote does not look more expensive but more professional. Four blocks are enough: electricity, care visits, consumables and a reserve for wear parts. A simple scheme you can copy into every quote looks like this.

The values in the scheme come from our own projects (project experience), the electricity price follows the household level (Bundesnetzagentur). Adjust hourly rate, pump rating and number of visits to your own business — the structure stays. What matters is the effect: the client sees one figure per year instead of a vague feeling that something else is coming. And you have a basis for talking about the care contract without it sounding like an additional claim.

This calculation does not have to appear on the website in full detail. A cost range for the build plus one sentence on the annual running costs is enough. How openly a company handles prices is a matter of principle; on our own pricing page we keep it so that everyone knows the order of magnitude before they call.

The First Meeting: The Points Before the Quote

The following points can be settled in twenty minutes at the kitchen table. Left unsettled they cost days later on. Take the list along as a discussion guide and tick it off visibly — that alone signals to the client that they are dealing with a specialist firm and not with a supplier who quickly names a figure.

  • What does clear mean to you? Have clarity described in metres, not in adjectives
  • Who swims, how often and from which month? Build type and heating follow from that
  • Which trees stand nearby, and in which wind direction does the pond lie?
  • Is the bank fertilised, does roof or lawn water run towards the basin?
  • Children and grandchildren: discuss depth staging, exit and safety measures
  • Who takes on skimmer, water level and cutting back, and who takes the rest?
  • Winter operation: switch off and drain, or run through?
  • Access for machinery, where the spoil goes, boundary and distances to neighbours

A word on the legal side, factual and without any claim to advice: whether an installation requires a permit depends on the law of the federal state and on volume, depth, position and the intervention in the water balance, among other things. Neighbour law distances and the owner's duty to maintain safety also come into play as soon as water stands permanently in a garden. You are not your client's legal adviser, but you are the one who points out that these questions belong before the excavation — documented in the minutes or as an annex to the quote. What applies in a specific case has to be reviewed individually.

A pond is the only building site that keeps working after handover. Say so beforehand and you sell a structure. Keep quiet and you sell a delayed disappointment.

Principle from site management

How the Website Anticipates the Expectation

Everything you have to explain in the first meeting costs time. Everything the website explains beforehand saves it. The pond page therefore has a different job from a reference gallery: its first purpose is not to impress but to sort. Three separate sections for natural pond, swimming pond and natural pool, each with one sentence on who the build type is not suitable for. Captions stating the growing year, for example third year after completion, so nobody confuses a mature pond with a freshly built one. And one honest picture from spring, not only the August afternoon in backlight.

Separating by trade also helps a broadly positioned company. The last point saves the most time. If the enquiry form asks for plot size, planned water surface, swimming intent, nearby trees and access, the enquiry arrives pre-sorted. You can tell from the answers whether a site visit is worthwhile, and while filling it in the enquirer has noticed that their project involves more decisions than assumed. That sorting is the difference between twenty enquiries with three jobs and eight enquiries with five.

One more thing belongs on the page, even if it feels wrong at first: the sentence about who a pond is not right for. Anyone with little time, no willingness to book care and an expectation of pool water is better served with a conventional basin. That single paragraph costs you a few enquiries and spares you the projects you would rather not remember later.
